Summary:
Operates a multi-line telephone system to answer incoming calls and directs callers to appropriate personnel and, compiles and maintains records of business transactions and office activities of establishment by performing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Answers incoming telephone calls, determines purpose of callers, and forward calls to appropriate personnel or department.
Takes and delivers messages or transfers ca lls to voice ma il when appropriate personnel are not available.
Answers questions about organization and provides callers with address, directions and other information
Welcomes on-site visitors, determines nature of business and announces visitors to appropriate personnel.
Receives, sorts and routes mail.
Operates office machines, assists users, sends faxes, sends scans, makes copies, retrieves and distributes faxes.
Operates computer to process payments, create documents and correspondence, utilizing
Microsoft Word, Microsoft Excel, Microsoft Outlook, Microsoft Access and several
in-house Access-based software programs. Takes payment for services and products
Records orders for merchandise or service in purchasing system
Prepares invoices in job tracking system and mails these invoices

Enters timecards into JobTRAK system
Contacts customers when jobs are finished and ready for pickup.
Keeps office organized and neat in appearance and provides instruction to cleaning company

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
